AI Usage Policy
Last updated: September 2026
1. Overview
InnCloud.ai (“we,” “our,” or “us”) uses artificial intelligence (“AI”) and machine learning technologies to enhance our license optimization, assessment, and advisory services. This AI Usage Policy explains how we use AI, what data is processed, and the limitations of AI-generated outputs.
By using our services, you acknowledge that certain features are powered by AI and you agree to the terms described in this policy, our Privacy Policy, and our Terms of Service.
2. How We Use AI
We use AI in the following ways:
- Diagnostic Report Generation: AI models analyze your infrastructure data (e.g., Microsoft 365 tenant data, RVTools exports, AWS SSM inventory) to generate license optimization reports, including financial exposure estimates, risk assessments, and strategic recommendations.
- Data Analysis & Trend Detection: AI identifies patterns in your licensing and infrastructure data, such as zombie VMs, SQL edition mismatches, license waste, and patch compliance trends.
- Content Generation: AI assists in generating blog articles, educational content, and marketing materials published on our website.
- Customer Support: AI may be used to help route inquiries, summarize communications, and assist our team in responding to questions.
3. AI Models and Providers
We use AI models from the following providers:
- Anthropic — Claude models for report orchestration and content generation
- Amazon Web Services (AWS) Bedrock — AI models including Kimi K2.5 for specialized analysis and Titan for text embeddings
All AI providers we engage are enterprise-grade platforms with their own security and privacy commitments. We do not use consumer-grade AI tools for processing client data.
4. Data Processing & AI
When you submit data for assessment (such as Microsoft 365 CSV exports, RVTools files, or SSM inventory data), that data may be processed by our AI models to generate reports and recommendations. Specifically:
- Your infrastructure data is sent to our AI providers for analysis
- AI models generate structured outputs (reports, recommendations, risk scores) based on that data
- We do not use your data to train, fine-tune, or improve the AI models of our providers
- Your data is not retained by our AI providers beyond the processing session, except as required by their own terms of service
- Personal information (names, emails) in your data may be visible to the AI models during processing
For more information about how we handle your data, see our Privacy Policy and Data Processing Agreement.
5. Limitations of AI-Generated Outputs
Important Disclaimer
AI-generated reports, financial estimates, and recommendations are provided for informational and advisory purposes only. They do not constitute legal, financial, or professional advice. AI outputs may contain errors, omissions, or inaccuracies. You should independently verify all AI-generated findings before making business, purchasing, or licensing decisions.
- Financial exposure estimates are approximations based on available data and may not reflect actual costs
- License optimization recommendations should be validated against your actual Microsoft licensing agreements
- AI-generated risk assessments are not a substitute for professional security audits
- Blog and marketing content generated by AI may contain factual errors and should not be relied upon without verification
- We do not guarantee any specific savings, outcomes, or results from following AI-generated recommendations
6. Human Oversight
While AI assists in generating reports and analysis, all client-facing deliverables are reviewed by our team before being shared. Our consultants use AI as a tool to accelerate analysis, but human judgment is applied to final recommendations and strategic advice.
For our blog and marketing content, AI-generated drafts are reviewed and edited by our team before publication. However, errors may still occur. If you spot an inaccuracy in our content, please contact us at info@innovera.ai.
7. Your Rights Regarding AI
You have the following rights regarding our use of AI:
- Right to know: You can request information about what AI was used and how your data was processed
- Right to opt out: You can request that your data not be processed by AI, though this may limit the services we can provide
- Right to human review: You can request that a human review any AI-generated output provided to you
- Right to correction: If you believe an AI-generated report contains errors, you can request a correction
To exercise any of these rights, contact us at privacy@innovera.ai.
8. AI Content Labeling
Where practical, we label AI-generated content as follows:
- Reports: Diagnostic reports generated through our platform include a note indicating AI was used in the analysis
- Blog content: Articles substantially generated by AI include an AI-assistance disclosure
- Marketing materials: AI-generated marketing content is reviewed and edited before publication
9. Changes to This Policy
As AI technology and regulations evolve, we may update this AI Usage Policy. We will notify you of material changes by posting the updated policy on this page and updating the “Last updated” date. We encourage you to review this policy periodically.
